1Who we are

SubmissionSensAI Inc (“SubmissionSensAI”, “we”, “us”) builds AI-driven video annotation pipelines that turn written instruction into curated instructional video. We apply that to Brazilian Jiu-Jitsu instruction, and to a home exercise program and remote therapeutic monitoring platform for physical therapy and chiropractic clinics. This policy describes how we handle personal information across this website, our mobile application, and the software we provide to academies and clinics.

2Information we collect

• Account information. If you create an account, your email address, a username and display name, and any profile details you add. If you sign in through a third-party provider, we receive your email address and basic profile information from that provider.
• Content you create. Anything you submit through the product, including posts, comments, messages, and uploaded images and video.
• Usage and device information. Log data such as IP address, browser or device type, pages viewed, and timestamps, collected automatically when you use the service.
• Phone numbers. Only when you give one to us, and only as described in section 3.
• Business contact information. If you represent an academy or clinic evaluating our software, the name, email address, phone number, and organisation you give us.

We do not collect payment card numbers. We do not buy personal information from data brokers, and we do not scrape contact details from other services.

3Phone numbers and text messages

• We do not sell, rent, or trade phone numbers, and we do not share mobile opt-in information or consent with any third party for their own marketing purposes. A number is disclosed to exactly one party: the telecommunications provider that delivers the message on our behalf, and only for that delivery.
• We text you only if you ask us to. Consent is express, verbal, and collected in person, one number at a time. Before we take a number down we say who is sending, what the message contains, how many messages to expect, that message and data rates may apply, and that replying STOP opts out. We send only if you say yes.
• What the program is. When we demonstrate our clinic software, the person evaluating it may ask us to text them the sample home-exercise program so they can see what a patient receives. That request produces one message, containing a link to a sample built from fictional data. There is no second message, no reminder, and no campaign. The message reads:

Sample home program for [clinic name] — a SubmissionSensAI demo, not a real care plan. [link] Reply STOP to opt out.

• We do not keep the number. It is used for that one message and is not written to a database, added to any list, or recorded in our server logs. Our logs keep only the provider's message identifier, never the recipient. The provider keeps its own delivery records under its own retention policy, as any carrier does.
• No marketing use, ever. A number given to us is never used for promotional texts, newsletters, calls, retargeting, or audience building, and is not matched against any other record we hold.
• Opting out. Reply STOP to any message to opt out. Reply HELP for help, or email us. Message and data rates may apply depending on your mobile plan.

4How we use information

We use personal information to provide, operate, and secure the service; to authenticate you and keep your session active; to deliver the features you use; to respond to your questions and provide support; to detect and prevent abuse, fraud, and technical problems and to enforce our terms; and to comply with legal obligations.

We do not use your content to train general-purpose machine learning models for third parties.

5When we share information

We share personal information only with service providers that operate the product on our behalf, including hosting, database, storage, analytics, and message delivery, and only to the extent they need it to perform that work. We may disclose information if the law requires it, or to protect the rights and safety of our users or the public. If our business is transferred, information may transfer with it, subject to this policy.

We do not sell personal information.

6How long we keep information

Account information is kept while your account is active and for a reasonable period afterwards. Log data is kept for a limited period for security and troubleshooting. Phone numbers given for a demonstration message are not retained at all, as described in section 3.

7Security

We use encryption in transit, access controls, and least-privilege credentials for the systems that hold personal information. No system is perfectly secure, and we do not claim otherwise. If a breach affects you, we will notify you as required by law.

8Your rights

Depending on where you live, you may have the right to ask what personal information we hold about you, to have it corrected or deleted, to object to its use, and to receive a copy. Email submissionsensai@gmail.com and we will respond.

9Children

Our software is not directed at children under 13, and we do not knowingly collect their personal information. Where an academy enrols a minor, the organisation is responsible for obtaining parental consent. The text message program described in section 3 is directed at professionals, and we do not knowingly take a number from anyone under 18.

10Where information is processed

We operate in the United States and our service providers may process information there. If you use the service from elsewhere, you understand that your information will be processed in the United States.

11Changes

If we change this policy we will update the effective date above. Material changes will be reflected here before they take effect.
